Fundraising

  • Financial Projections

  • Create support Levels and determine Benefits

  • With NGO work to secure Honorees

  • Confirm Host Committee

  • Manage and Run Host Committee Meetings

  • Update Solicitation Lists

  • Manage Event Master Solicitation List

  • With Designer, create Event Collateral

  • Send out Save the Date

  • Mail/Email Pre-sale Letters

  • Manage Design, Proofing and Printing of Event Invitation

  • Organize Mailing or Emailing of Event Invitation

  • Confirm all Donor listings for any event recognition

  • Collect Donors ads or logos as part of Benefits

  • Work with Designer on final event “book” or visual recognition

  • Maintain master pagination for all event benefits

  • Support and Manage Board/Event Chairs/Honorees with their Fundraising Outreach

  • Fundraising Follow-up to designated lists


Guest List & Seating

  • Keep the Master Tracking Report for event with all donors- Money Paid/Due and Guest count

  • Follow-up with all attendees and guest names

  • Prepare Guest list and seating chart for seating meetings

  • Lead communication with venue on final count, table arrangements and counts

  • Ticket all guests or Prepare final check in list for non-seated events

  • Provide staff to run Guest check in

  • Post Event, send client Final Attendee list with all contact info + Event No-Shows

Production

  • Hire & Manage Production Team or Stage Manager

  • Secure AV Team and best proposal

  • Lighting and Screen content

  • Write Run of Show with Leadership & Client

  • Run point with all program participants, ensuring they have schedule, transportation, talking points, script etc.

  • Create Rehearsal schedule

  • Send all scripts, videos to AV Team for pre-event testing


Strategy & Cultivation

  • Update Master Event Solicitation List

  • Help Create and Execute Cultivation Events

  • Work with Comms Department on Donor Communications

  • Support overall Development

  • Long Range Leadership Prospects and Goals

  • Create and manage timeline for annual events

  • Serve as point person for venue for annual events
